A negative review should reach the person responsible

When several locations receive reviews, checking profiles manually can leave feedback unnoticed. Even when Marketing sees a complaint, the team responsible for the customer experience may never hear about it.

Cacao detects new Google reviews, assigns one category for alert routing, and applies your rating and location rules to email the configured recipient with the review and branch details.

From review to responsible team

New Google review → one AI routing category → rating and location rules → email to the responsible person.

Your team can configure alerts directly in Cacao. Start with the categories your business needs, describe the feedback that belongs in each one, and choose who should receive it.

3. Enable email alerts and set the recipient

Enable Email alerts and enter the Recipient email for the person responsible for this category. Each category configuration has one email recipient. Save the category.

4. Set rating and location rules

Choose which ratings trigger an alert and set the appropriate recipient for each location or group. For example, Operations feedback from Argentina can go to one responsible person and feedback from Mexico to another. This example illustrates a possible configuration.

5. Send a test alert

Use the test option and check that the email reaches the intended recipient. Review the category and location details before putting your configuration into use.

Google notifications, Zapier, or Cacao?

Choose the approach that fits how your team needs to receive and distribute feedback across locations.

Google Business Profile

Google lets you enable notifications for new reviews through email, Search, or Maps. Its notification settings documentation does not describe category-based routing or rating thresholds. Start here if your need is simply to know when a review arrives.

Zapier

Zapier offers a New Review trigger for Google Business Profile with a required location. You can build an automation around that trigger; review the filters, destinations, and setup you need to maintain across your locations.

Cacao

Configure categories, rating rules, location context, and email recipients in the same platform where authorized users can manage and respond to reviews. Use this approach when feedback needs to reach different responsible teams across your locations.

An email alert with the context your team needs

A negative-review alert brings the customer feedback and the affected location together, so the recipient can identify the branch and take the next step.

  • All review information.
  • The branch or location and its address.
  • A link to view the review on Google Business Profile.
  • A separate link to respond in Cacao with an authorized user account.

Custom CRM integrations for review management

For clients that need a custom workflow, Cacao can develop an integration with their CRM. The scope and implementation are tailored to the organization.

A custom integration can let internal users receive notifications, assign responsible team members, add comments, update handling status, and publish public Google review responses from the CRM. Corporate users can see the status of each review management workflow in the CRM.

Steren manages 800 Google Business Profiles across its network. Its custom Salesforce integration is still in development. Read the Steren case study for the current implementation context.

Frequently asked questions

How do I get alerts for negative Google reviews?

Open Categories in Cacao, create your categories with a name and description, enable email alerts, and enter each recipient. Configure the rating and location rules, then send a test alert.

Can I choose which ratings trigger an alert?

Yes. The rating threshold is configurable, so you can choose which ratings should notify your team.

Can different countries have different recipients?

Yes. Location or group rules can route feedback to different responsible people, such as one recipient for Argentina and another for Mexico.

How many categories determine an alert’s routing?

AI assigns one category to determine alert routing. Each category configuration has one email recipient, with the appropriate location or group context.

Can I edit settings and test delivery myself?

Yes. Your team can edit categories, descriptions, recipients, and rules directly in Cacao, and use the test option to check email receipt.

What does the recipient receive?

The email includes the review and branch information, with links to view the review on Google Business Profile and respond in Cacao. Responding in Cacao requires an authorized account; receiving an alert does not grant access.
